Execuitive Assistant
The Opportunity
Join a fast-moving U.S. startup as the Executive Assistant to the founder, where you will become the operating system behind how a CEO spends their week. This is not a task queue role. You will own the calendar, control the inbox, run meeting preparation and follow-through, and make judgment calls on what reaches the founder and what does not. You will work directly with a U.S.-based leadership team on real business hours, with full visibility into how the company runs. As the company scales, the scope of this role scales with it. You will be part of a fully remote team working across Latin America and the United States.
What You'll Bring
Executive Support Experience:
- 3+ years supporting a founder, CEO, or senior executive in a professional environment.
- Ownership of complex calendars across multiple time zones, including protecting focus time and resolving competing priorities without escalating every conflict.
- Inbox triage and drafting on behalf of an executive, including writing in their voice.
- End-to-end travel coordination: booking, itineraries, changes in flight, and expense reconciliation.
- Meeting preparation and follow-through: agendas, briefing notes, action capture, and chasing commitments to closure.
AI-Assisted Workflow:
- Demonstrated professional use of AI tools (Claude, ChatGPT, or similar) for drafting, summarizing, research, and documentation.
- Comfort building and maintaining lightweight automations, templates, and SOPs so recurring work stops being manual.
Professional English Communication:
- Fully fluent written and verbal English, at a level suitable for direct client, investor, and vendor correspondence.
- Bilingual English and Spanish (or English and Portuguese).
Judgment and Discretion:
- Consistent handling of confidential material, including compensation, board, investor, legal, and personal information.
- Sound instincts on what to decide independently and what to escalate, with a track record of operating without close supervision.
Availability and Setup:
- Full-time availability aligned to U.S. business hours.
- Reliable home office setup with backup internet and power.
What Sets You Apart
Optional Experience and Capabilities:
- Experience supporting a startup founder or working inside a high-growth company.
- Chief-of-staff adjacent work: project tracking, vendor management, hiring coordination, or light operations ownership.
- Familiarity with the modern founder stack: Google Workspace, Slack, Notion, Linear or Asana, HubSpot, and expense platforms such as Ramp or Brex.
- Comfort blending business support with personal and lifestyle coordination where the founder needs it.
Previous U.S. Client Experience:
- A background working directly with U.S.-based teams, including comfort with U.S. business norms and communication style.
