Senior Product Operations & Analytics Manager (Looker, Pendo)
The Opportunity
Join us as a Product Operations & Analytics Manager, where you'll tackle the exciting challenge of enhancing product development and operational excellence for the client's suite of products. You'll dive into a technical environment rich with tools like Looker, Pendo, Mixpanel, and Excel, driving data-informed decision-making. Your work will directly impact industry-leading clients by ensuring product teams have the data, processes, and infrastructure needed to deliver consistently high-quality results.
Key Responsibilities
Product Analytics & Reporting
- Produce monthly Product Engagement Snapshot Newsletters.
- Analyze product metrics using Looker, Pendo, Mixpanel, and Excel.
- Build monthly retention/churn/new user cohort reports.
- Conduct competitor and industry analysis via ChatGPT agents.
- Interpret data trends and synthesize insights for product leadership.
Product Analytics Instrumentation
- Set up instrumentation for Pendo, Looker, and MS Clarity.
- Support feature tagging, analytics schema design, and ongoing maintenance.
- Create and maintain dashboards for leadership visibility.
- Troubleshoot data gaps and collaborate with engineering on fixes.
Product Operations & Process Governance
- Own and send the Monthly Sprint Best Practices email.
- Ensure product teams meet standards for documentation and workflow hygiene.
- Enforce best practices across sprint-end documentation, burndown accuracy, release versioning, ticket quality, and Jira Plans coverage.
Confluence Documentation & Knowledge Management
- Maintain structured, current product documentation.
- Implement taxonomy, versioning, and documentation audits.
- Support product teams in documentation hygiene and updates.
Jira Configuration & Change Management
- Administer Jira workflows, issue types, fields, and dashboard filters.
- Ensure all teams adhere to standardized workflows and required fields.
- Maintain visibility, reporting accuracy, and governance across projects.
Billing, Costs, and LLM API Resource Management
- Prepare monthly invoices and integrate billing data into Stripe.
- Maintain monthly cost dashboards and automate updates.
- Manage LLM API keys, usage monitoring, and seat distribution across platforms.
Tooling Administration & Seat Management
- Manage seats and licensing for various tools.
- Optimize cost efficiency and ensure correct user access levels.
- Maintain shared testing accounts and credential hygiene.
Contractor Onboarding & Processing
- Coordinate tool access setup, Jira/Confluence permissions, and workflow alignment.
- Maintain and manage contractor data in centralized tracking.
- Support HR and Finance with provisioning, deprovisioning, and audits.
SOC 2 Compliance & Audit Review Support
- Assist with SOC 2 audits by preparing documentation, evidence requests, and control mappings.
- Partner with Product, Engineering, Security, and HR to ensure operational processes align with SOC 2 requirements.
- Work directly and manage relationship with SOC 2 audit firm.
- Maintain Confluence-based compliance documentation and ensure audit artifacts remain up to date.
- Support remediation tracking, gap assessments, and quarterly control review processes.
- Coordinate cross-functional responses during SOC 2 audits to ensure timely, accurate submissions.
Skills & Qualifications
- Proficiency with Pendo, Looker, Mixpanel, Excel, Airtable.
- Familiarity with workflow automation tools.
- Strong Jira administration and Confluence documentation capabilities.
- Excellent communication and synthesis abilities.
- Experience supporting cross-functional product teams.
- Highly organized, detail-oriented, and capable of managing multiple workflows.
- Understanding of SOC 2 compliance processes and audit preparation.
